Overview
Attorney rotation is an optional feature that helps ensure fair lead assignment among your organization’s attorneys, or users with the role marked Associated With Revenue in the Manage > Roles section.
When this feature is enabled, attorneys (or equivalent) are displayed in order of last assignment when assigning leads, as shown below:
In most cases, you should select the attorney at the top of the list to maintain the correct rotation order. Once an attorney is assigned a lead, the rotation order reflects that attorney’s most recent assignment date, and they move to the bottom of the attorney rotation list.
Assign Users
Admins can assign individual users to be included in the attorney rotation. Eligible users must be assigned the attorney role. If your organization’s roles are customized, users must be assigned the role marked Associated With Revenue in the Manage > Roles section.
In the left side menu, click Manage and select Users from the dropdown. In the user list, click the blue Edit button beside the desired user. At the bottom of the Edit User page, click the checkbox beside the Include in Rotation option. If you do not see the rotation option, first click the checkbox beside the attorney role (or equivalent) on this page.
When you are finished, click Save. The user is now included in the attorney rotation.
Include or Skip Leads
When adding a lead, you have the option to include the lead in the attorney rotation, or skip the lead in the rotation. When included, the rotation continues as normal, and the assigned attorney rotates to the bottom of the list. When skipped, the attorney assigned to the skipped lead maintains their position in the rotation, despite being assigned the lead.
You can also edit this selection in the Options tab of existing leads. When you’ve finished editing, be sure to click Update & Return to Dashboard or Update.
Skip by Office
You can also skip the rotation for leads assigned to a certain office.
In the left side menu, click Manage and select Offices from the dropdown. Beside the office you wish to exclude from the rotation, click Edit, or click Add New at the top right to configure these settings for a new office. At the bottom of the office form, click the checkbox beside Skip Rotation.
At the bottom of the form, click Save. All leads assigned to the chosen office will be skipped in the rotation, meaning the assigned attorney will maintain their position in the rotation.
Note: If a lead is assigned to a skipped office, then the assigned attorney will maintain their position in the rotation, even if the Include in Rotation option is selected elsewhere.
Skip by Lead Source
You can also skip the rotation for leads with a certain lead source.
In the left side menu, click Manage and select Lead Sources from the dropdown. Beside the desired lead source, click Edit, or click Add New at the top right to configure these settings for a new lead source.
In the lead source form, add the phrase “Skip Rotation” to the Source Name field. For example, your new source name may read “Direct Referral - Skip Rotation.” This phrase alerts Lead Docket to exclude leads with that lead source from the rotation.
At the bottom of the form, click Save. All leads that enter the system via the chosen lead source will be skipped in the rotation, meaning the assigned attorney will maintain their position in the rotation.
Note: If a lead is assigned to a skipped lead source, then the assigned attorney will maintain their position in the rotation, even if the Include in Rotation option is selected elsewhere.
Attorney Rotation Report
The Attorney Rotation Report allows you to track attorney (or equivalent) lead assignments. This report only appears in the Reports section when attorney rotation is enabled.
Click Attorney Rotation to open the report page.
The Rotation section of the report displays all attorney-level users, and the date and time of each user’s last lead assignment that counts towards the rotation.
The Recent Rotation History section displays all recent attorney-level lead assignments.
The Count column shows whether each lead was included or skipped in the rotation. If a lead was included in the rotation, the checkbox is filled. If skipped, the checkbox is blank.
The other columns contain further information about the lead. Click the column headings to sort the list as desired, or enter a keyword into the Filter: box to filter the list. You can also click the View button beside a lead to open the lead.
