The Basics
The Intake Dashboard provides a bird’s-eye view of your firm’s leads, opportunities, tasks, and more. Most users will spend the majority of their time in the Intake Dashboard.
Your Intake Dashboard should be as empty as possible. An empty Intake Dashboard means you are moving leads through their lead statuses, completing your tasks, and managing your opportunities.
To access the Intake Dashboard, select Intake Dashboard from the menu on the left-hand side of Lead Docket. You can also select the Intake Dashboard button on the home screen.
Filter
By default, the Intake Dashboard shows leads assigned to anyone in your organization. To filter by a specific user, scroll to the bottom of the page and click the dropdown menu beside Show Leads Assigned To:.
Select the desired user. Your Intake Dashboard now shows the following:
- leads assigned to the selected user
- messages associated with leads assigned to the selected user
- tasks assigned to the selected user
- all opportunities
Sections
The Intake Dashboard may contain up to ten sections. The Lead Tracking section always appears in the Intake Dashboard. All other sections have contingent visibility. For example, the My Tasks section will only be visible when you have uncompleted tasks, and the Assigned section will only be visible when there are leads with the Assigned status.
Lead Tracking
At the top of the Intake Dashboard, you'll find a simple way to track your firm's progress on acquiring leads and turning them into cases. This section provides a high-level view of your firm’s total leads and signups, while other sections display subsets of leads by status.
Here, you can view the amount of Leads, Wanted Leads, and Signups created today, this month, and last month.
A lead is a contact with a potential case. A wanted lead is a lead you did not refer out or reject. A signup is a lead who has signed up to be your client. Learn more about lead statuses.
Click the blue numbers below a time frame to open a list of all leads, wanted leads, or signups acquired in that time frame. Learn how to sort and filter leads in this window.
Opportunities
The Opportunities section displays all outstanding opportunities in the system. Opportunities are individuals that contact your organization through web form, web chat, text, or call service, depending on what your firm offers. Users can review new opportunities and contact those with a potential case.
Clicking on an opportunity will open the Add a New Lead form. The form will already contain the information provided by the contact. In this form, you can choose to convert the opportunity into a lead by completing the form. Alternatively, you can disregard the opportunity by clicking Disregard Opportunity in the top right corner.
Once the opportunity has been added as a lead or disregarded, it will disappear from the Opportunities section. To view disregarded opportunities, click the star icon in the top menu bar, and then click View All Opportunities.
At the top right of the list of opportunities, click View Disregarded. The Disregarded Opportunities list displays all disregarded opportunities from the past 90 days. Click an opportunity to view its details, and if desired, convert it into a lead.
Note: Only one user can edit an opportunity at a time. When another user is editing an opportunity, that opportunity will appear as shown below, and clicking the opportunity will do nothing. Hover over the opportunity to see which user is editing that opportunity. The opportunity will not be editable by other users until one of the following occurs:
- the user editing the opportunity converts the opportunity into a lead
- the user editing the opportunity returns to the Intake Dashboard
- 60 minutes pass since the user began editing the opportunity
Messages
The Messages section contains unread SMS text messages and emails sent from leads that are assigned to you. The number of unread messages is shown in the top right corner of the Messages section.
Select a message to open the Messages section of the lead.
In the Messages section, you can view all messages exchanged between you and the lead. You can also send text messages and emails from this screen.
My Tasks
The My Tasks section contains all tasks assigned to you. If you have pending tasks, this section will appear on the lefthand side of your Intake Dashboard. Click on a task to view its details, including which lead the task is associated with and when it was assigned to you. Learn more about completing tasks.
Recently Updated Leads
The Recently Updated Leads section displays all leads that have recently been added or edited by any user. The most recently updated lead will appear at the top of the list. You’ll see the name of each lead, as well as how long ago each lead was updated.
Other Sections
All other sections of the Intake Dashboard display leads with certain lead statuses. For example, the Assigned section shows all leads with the status of Assigned.
The blue number in the top right-hand corner of a section shows the total number of leads in that section. Click any lead to open the lead page, where you can edit the lead’s status and details.
If there are any incomplete tasks associated with a lead, a red exclamation mark icon will appear beside the lead.
