Users can avoid creating duplicate contacts in Lead Docket and in Filevine by searching Filevine contacts and comparing potential duplicates.
Search Filevine Contacts
If you are integrated with Filevine, you can search for and choose from your Filevine contacts when creating a new lead. Selecting your Filevine contact as the lead’s primary contact will avoid duplicate contacts between Lead Docket and Filevine later on.
When creating a new lead, in the Contact Information section in the Add Lead form, click on Search Filevine Contacts.
A Search for Filevine Contact modal opens. Enter the contact name in the search box.
If you find the contact you’re looking for, click Select. The information from the Filevine contact will populate the Contact Information section.
Filevine Contacts in Lead Docket
Once a Lead Docket contact has been linked to a Filevine contact, any changes you make to the contact in Lead Docket will be applied to the existing contact in Filevine as well. The exception to this is Filevine contact fields that can have multiple values attached to a contact, like address or phone number. If this type of field is updated in Lead Docket, a new address will be added to the Filevine contact rather than altering the existing one.
Before posting the lead to Filevine, the lead’s Filevine Contact ID and Filevine Project ID fields will be blank. Once the lead is posted to Filevine, those fields will then be populated with their respective IDs. In addition, the contact will have an icon indicating that it is linked to a Filevine contact.
Duplicate Check
As you fill out the information in the Contact Information section of the Add Lead form, Lead Docket checks the contact information against existing contacts.
If you’ve entered certain information belonging to an existing Lead Docket contact (email address, for example), you will be notified that there is an existing lead with that information.
Compare the information you have already added with the information in the Possible Duplicate Detected preview. To view more information about the existing contact, click on the contact name or on the contact’s associated leads.
If the contact is a duplicate and you would like to use the same contact, click Add to this Contact. Any information not yet populated will be added in the Contact Information section, and the two contacts will be connected via a shared Contact ID.
When adding contact information this way, make sure that the new contact has the correct information. Any values that are different in the Contact Information section will overwrite field values in the existing contact.
If the contact is not a duplicate and you would like to create a new contact, continue creating the lead as normal.
