Admin users can make field requirement rules for specific statuses. A field marked as required for a status must be filled out before the lead can be moved to that status.
For example, you could mark the “Email” field as required for the “Scheduled” status, meaning that the email field must be filled before the lead can be moved into “Scheduled,” including any substatus of “Scheduled.”
Create a Required Field Rule
Required fields can be created in the Statuses section. Click Manage > Statuses to navigate to this section. Then, click the status you would like to make the field required for.
In the Edit Status page, scroll down the Required Fields section. In this section, any existing required field rules are listed, along with the substatus and case types they are set for.
To create a new required field rule, click + New. In the modal, select the desired case type, or select All Case Types. To select multiple case types, hold Ctrl (⌘ for Macs) and click.
The fields available to select will be determined by the selected case type. For example, if two case types are selected, you will be able to choose any field that both case types contain.
If the status has substatuses, you select a substatus to make the field required only to move the lead into that substatus.
Search and select the required field from the dropdown.
When you have selected the case types, substatus, and field to your satisfaction, click Save changes. The rule will be listed in the Required Fields section. Save the status.
Edit or Delete
To edit an existing required field, click on the vertical ellipsis to the right of the listed field. Click Edit in the dropdown to open the modal, where you can edit the case types, substatus, and field.
To delete an existing required field, click on the vertical ellipsis to the right of the listed field, and click Delete. Confirm to delete the requirement.
Change Status
When a status or substatus has a required field rule, the lead can only be moved into that status or substatus when that field is filled.
If you attempt to move the lead into the status or substatus without filling the field, you will receive messaging instructing you that the field is required.
These messages appear at the top of the lead, similar to required task messages. Click on the message to navigate to that field.
Once the field is filled and the lead has been updated, the message will no longer appear at the top of the lead. You will see a message informing you that all rules for changing the lead to the desired status have been met. You can then change the lead’s status.
