Leads now include document folders to organize your documents and files. Admin users can set up default folder structures to be automatically created upon lead creation, and then push those folders to Filevine.
Set Up Folders
Before using document folders in Lead Docket, an Admin user should assign the default folder structure and configure auto-routing options.
To navigate to folder setup, select Manage > Settings > Folders.
Under Assign Default Folder Structure, add up to 10 default folders. These folders will be automatically added to every new lead. If the default folder structure is changed or updated, the new structure will only be applied to new leads going forward.
Lead Docket does not currently support nested folders.
Push to Filevine
Folder structures are pushed to Filevine along with the lead, and are matched with Filevine folders of the same name.
Lead Docket folders are not manually mapped or synced with Filevine project folders. Instead, at the time when a lead is pushed to Filevine, any folder in Lead Docket that matches the name of a folder in the project will be matched, and the files in that folder will be pushed to the Filevine folder of the same name. If a Lead Docket folder does not match the name of a Filevine folder, Filevine will create a new folder with that name.
Tip
Folder name matches are not case sensitive.
To ensure your folders are matched and avoid creating repetitive folders in Lead Docket and Filevine, you may want to compare your Filevine project folder template to your Lead Docket default folder structure to ensure the folders you’d like to be matched have the same name.
Automatic Routing
Incoming attachments and signed files can be automatically routed to a folder selected on this page. If you’d like all SMS and Email attachments for a lead to automatically be placed in one folder, for example, you can select that folder here.
Tip
Automatic routing is selected once for a lead, at time of creation. If the automatic routed folders are changed, this change will only affect newly created leads going forward.
Folders
In a lead, the folder structure now organizes the Documents tab. If a folder contains files, the folder icon will be filled in, and you can click the caret to expand or collapse the folder to view the files.
Click and drag the six dot icon next to a file to move it between or in and out of folders.
Note
Files with the page icon have completed OCR (Optical Character Recognition). OCR visually recognizes characters in image documents like PDFs and JPGs, making the text in those documents searchable, including by AI.
Add Folders
In the Documents tab, you can add a folder to the lead by clicking Add Folder at the top right.
For any manually added folders, click the ellipsis menu to rename or delete it. Deleting a folder also deletes the files within it, so employ caution when deleting.
If a folder is automatically added as a part of the default folder structure, you will not be able to delete or rename it.
